The Right Team Training Transforms the Patient Experience

As part of our collaboration with a dynamically growing aesthetic medicine clinic, comprising three doctors and seven specialists across the front desk and aesthetics team, we worked systematically to create a comprehensive patient experience strategy.
Designing Systems That Support Growth
Our collaboration began with the design and implementation of a series of structured processes to improve the clinic's daily operations and patient experience.
We developed specific tools, protocols, and actions covering critical points along the patient journey, including:
- Proper management of phone calls
- The reception and check-in experience at the clinic
- The structure and flow of the consultation process
- Handling objections and complaints
- Effective post-visit follow-up
- Building a relationship of trust that leads to long-term loyalty
The goal of this preparation was to create an operating system that supports both the clinic's growth and a consistently high-level experience for every patient.
Turning Strategy into Daily Practice
The next critical step was training the team so that all tools and processes would become part of the clinic's daily operations. During the training seminar, we worked with the entire team on practical scenarios and real-world working conditions, focusing on skills that directly impact the patient experience and the clinic's growth.
The Next Step
With the preparation and training phase complete, the collaboration moves into its next stage: implementing the strategy through the Business Accelerator program. Over the next 6 months, the following will take place:
- The creation and strengthening of the clinic manager role
- Implementation of the designed processes
- Monitoring of team performance
- Ongoing support for results optimisation
The program's goal is to lay the foundations for stable, sustainable clinic growth in the coming years through clear operating systems, empowered teams, and an exceptional patient experience.
